Clinic Practice Office Manager (Full Time Exempt - Not to exceed $60,000)

This position exists in the hospital and involves overseeing the day to day operations of one or more hospital clinics while supporting the activities of Lewis County General Hospital as a whole.  Duties include, but are not limited to, scheduling and supervision of the staff, work flow implementation and statistical reporting.  The work is performed in accordance with the policies and objectives outline by the Group Practice Administrator with leeway allowed for the exercise of independent judgment in applying policy to specific cases.   Supervision is exercised over the work of the subordinate staff.  The incumbent does related work as required.

TYPICAL WORK ACTIVITIES: 

·  Manage daily staffing to ensure optimal operation of the clinic(s)

·  Trains and orients new clerical staff in accordance with LCGH guidelines

·  Supervises clerical staff in their daily tasks, assisting as needed.

·  Monitor and order office supplies as necessary

·  Arrange office maintenance when required

·  Assists in creating annual budget for clinic(s)

·  Develops or revises office work procedures and methods

·  Assists RN Nurse Manager in implementation of clinical workflow

·  Utilizes computer software to records and report statistical and financial information

·  Monitors quality metrics needed for the ACO and other payers and reports results to Group Practice Administrator

·  Oversees implementation of pre-visit planning of upcoming day’s patients

·  Assists with management of employee payroll

·  Assists clinic staff to remain in compliance with PCMH guidelines

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES, AND PERSONAL CHARACTERISTICS:

Strong leadership, analytical and organizational skills; thorough knowledge of medical office terminology, procedures and equipment; good knowledge of business arithmetic and English; good knowledge of the principles and modern practices of medical office management and supervision; familiarity of clinic organization, functions, policies, laws, regulations, and procedures; ability to organize and supervise the work of others; ability to understand and carry out complex oral and written directions; ability to prepare correspondence and reports; ability to secure the cooperation of others; ability to operate a computer and utilize software programs; ability to deal effectively with the public; support activities of LCGH and PCMH.

 MINIMUM QUALIFICATIONS: 

Either:

A)    Graduation from a regionally accredited or New York State registered college or university with an associate degree in business office management, business management, office management, office systems or a related field AND two years of experience in a medical setting involving training or supervision of staff, completing quality metrics or policy review.

B)    Graduation from high school or possession of an equivalency diploma and four years of experience in a medical setting involving training or supervision of staff, completing quality metrics or policy review.

C)    An equivalent combination of training and experience as defined by the limits of (A) and (B) above.
